Reading other meet impressions threads leads me to believe the multiroom thing doesn't work well. The only way it works is having the main room be the member room and any small rooms be for vendors. This is actually ideal, IMO, but unless it is a large event this is usually not financially possible.

A room like at the Holiday Inn quoted above will give us a massive space to spread out. When I was at RMAF, the room was surprisingly quiet for how many people were in it, but it was also something like 8000sq ft with high ceilings. This 2345sq foot room should be similar in proportion to how many people we will have meaning it should be quiet even though it is all in one room. There's apparently a foyer outside as well for people to talk and the tag/paying covers table.

Understood, Maxvla and MT.  Hope the room is acoustically dead.  I'll just listen through the chatter, again.  Looking forward to the cook off between HD800 and the 09.very_evil_smiley.gif

You could do what Al does and just turn it up to 11 (or in his case 16). biggrin.gif

Cavalli Audio will be there. Sounds like Headamp might make it. Avenson was here last year and since he's local I bet Avenson Audio will be there was well.

Not giving money to 'sponsor' persay, but their gear will be there.

I think we may have a winner with Norris Conference Center. Their Pecan room (~2000sq ft) is available and for just $725. They have catering available if we want to have them serve lunch, of course it will cost more (and their sample menu only has sit down type meals, won't be cheap). I'll ask them about outside food restrictions, but I'd think bring in a stack of pizzas and be done with it. They have free parking and free wifi access. They sent pictures, but they weren't labeled so I'm not sure which was which except for the big room. With the relatively low price of the Pecan room I was intrigued to know the price of the Red Oak ballroom (4500sq ft) so I asked about it in my reply. Here's a picture of the Red Oak, perhaps too large for us (and costly), but it would help keep noise down.

Background noise is totally overrated - we have technology solutions, which will solve anything (telephone, wife/girlfriend, kids) up to barking dogs.

 

PayPal at the ready whenever we need to start collecting funds for a room.

Ok, so no outside food/drink allowed at Norris. They haven't replied about the other room and with an estimate for catering yet, but I'm thinking the catering will be too expensive, and most people aren't going to be interested in sitting down to a full meal. I looked nearby and there is a Sonic, Schlotzsky's, Panda Express, and an Indian restaurant in walking distance within the same complex as the conference center. Across streets there is a Subway, Chipotle and Taco Bell, so there is ample food nearby if people get hungry. There may be others as some of the buildings on google maps aren't labeled.



edit: Red Oak is not available. Rate on the room is $1350 if we want to try a different date, or keep that in mind for next time.

I need a volunteer to go to Norris Conference Center and check out the Pecan room. My contact is getting me a picture of it, but I'd like someone to see the facility in person before we commit. I need you to check power outlets, table sizes available for our use (rectangular only) and how the entry looks for a name tag/cover fees table outside the room or just inside.

Here's a layout I have for the Pecan room. The room is 42 x 47. The tables in this picture are slightly wider than your standard collapsing tables (36" vs 30") so there will be actually about 4 feet between the table sets, not 3. That smaller corridor is for the back side of gear, presenters to sit and store boxes, etc. There should be plenty of space at the walls of the room for further storage, especially the back corners. The front horizontal table will have name tags and this is where you will pay the cover fee if you haven't done so prior to arriving. This leaves 24 6 foot tables for gear, enough for approximately 48 rigs.

The entry doors are towards the right side. The first bank of tables might be moved back a foot or two to give more entry space. I'll assign table spots at some point, vendors will be on the back wall where they will have more room and can easily take multiple tables if needed. The center row of tables will be the last assigned, hoping we don't need them except as a place to sit and talk, since we don't have enough room to have a full double set of tables for there to be a proper 'back' area, something easily possible in the larger Red Oak ballroom... maybe next time.
