Also, since we have been having 2 NYC Regional Meets since 2002, one our members put together a webpage that explains to attendees, good Meet Etiquette and a nice FAQ to answer all questions for newbies who have never attended a meet, so you don't have to answer a trillion questions.
Just scroll halfway down the page (past the list of attendees and gear) and you will see the FAQ's and proper healthy meet etiquette suggestions.
Special thanks to SiBurning (Steve) for putting this together and I hope it helps your meet become a great success.
Looks like it's going to be a great event:

You have a great set up as shown in your picture. Regarding your kind offer of assistance with Todd, that would be wonderful if you would approach him regarding sending a unit for the CanFEST. I will be happy to make arrangements to receive it and ship it back to him, unless you bring it personally. Whatever is easiest for you.

With respect to the Meet info/FAQ, I was aware of that and was going to soon ask for permission to use parts of it, with appropriate acknowledgement of its source. May we use this to help educate our attendees?

Thanks again for your kind offer of help and support. I am most hopeful you and others from your area will be able to join us and spend some time with Joe Grado. It will be a terrific day.

Yes, as a matter of fact, Steve (SiBurning) wrote this 2 years ago, when we saw that the Spring meet was going to pull in 80-90 attendees (noisy, half the fun is getting to hang out with your Head-Fi buddies), with the intention of other meets being able to use it to make meets even better than they already are. Please feel free to use it.

The 3 most important things that people don't think of, is:

1 - Clean hair and ears are a must for the sake of all of those involved
2- Second of all, most members don't care if you borrow their $7000 headphones for compare and contrast (and after all, isn't that why we're there?).
Along with CD's or interconnects, just let the owner that you are going to borrow them. We are a close knit group, and aside from a missing mini>1/4 adapter)
nothing has ever been stolen from any of these meets. Of course, every meet, someone has left a CD in someone else's player.
3- Always treat the equipment with the upmost respect. I have been to meets where I see an unsuspecting listener with his 210 lb. foot stepping on one of the HP cables. It happens, but I find that bringing banana hangers for the phones and a soft towel to lay across your source and amp goes a long way.

Also, a semi-silent auction usually helps the host cover the costs of the meet. Most of the manufacturers, and some kind souls donate things that they no longer need, people bid on a template sheet, and one person organizes the auction (somewhere near the last 2 hours).
Also, if everyone attending gave the host what they could afford (from $5 to $100) the meet pays for itself, and any overages van be donated to Jude (Head-FI) in the name of the meet.

Hope this helps. Please feel free to PM me with questions. Maybe I can be of assistance )

The What's a Meet FAQ is also in post 9 of the Meeting suggestions thread. While the nyc meet page is always the most up to date version, it's better to keep any discussion in the Meeting suggestions thread.

It's posted there specifically so other people can use it. I just now modified that post to make it clear that anyone can use and modify it for their meets, and also to bring it a little more up to date. After all, it's not my creation, just a compilation of suggestions from members.

National meets are a little different, so I suggest you modify the FAQ accordingly, and create a FAQ thread that includes whatever stuff you need. Talk to the people who arranged the previous national meets about how to set up the different threads. There was considerable overlap last year between two threads, with the same questions fielded in both, some from this FAQ. I (think I) started a FAQ thread for this last year, but you guys should really handle it yourselves in a more thorough way. You'll have enough to do without dealing with the same questions over and over.

One other thing that probably needs doing is to encourage members to put their username on their gear so people know who to track down for information, and to make it easier to comment when we post pictures in the impressions thread.

Uhm... that would be me a the Harrison meet. To be fair, it was a rat's nest of cables in that corner near Lan's photographic white box, and it was hard to get through there, and I was trying to set up a photograph and was going really slow through that spot, so immediately as I put my foot down, I realized it was on a cable, and never put my full weight on it, and immediately took all my weight off it, but I was also quite unbalanced getting through there with that course correction, so I wasn't quite able to get my foot off it completely before being spotted, so 40 lashes for me, and guys... you need to lay out your cables more carefully, or we need to space the tables further apart, or put up something to warn people about cables lying across the tiny footpaths.

These are the just some of the cables in question. Wish I took more shots, and one of the cables on the floor would go a long way to mitigating my case. Maybe that's why I'm not a lawyer.

And, of course, I don't need to mention... I'm so there.

Not sure how old I am talking about. Mine are #6873. I had heard there was a difference in the older and newer models but I'm not sure if there is and where that difference would manifest itself. Was just kind of curioius if any models older that mine were going to be there so I could listen for myself.

I'll have mine with me for you to listen to. In the meantime I'll email Grado and ask if they can give me an approximate manufacture date.

FYI, my RS-1 are S/N 2314 and I purchased them from TTVJ in September 2005. Hope that helps w/ an age versus S/N. BTW, here is a picture.

Actually, Steve (SiBurning), I wasn't talking about you. I didn't get to see your graceful "gazelle-like" efforts not to put full weight on any cables in Harrison.
But, I have seen multiple offenses over the years, including watching someone step on my prototype 1.2 electrostat at a meet in San Francisco. No one is doing it on purpose, but when you have wires all over the place, and a bunch of kids in a candy shop, everyone has to be very vigilante about practicing safe wire-tapping

Also, I've seen members show up at meets with "Dippity-Do" in their hair (gotta be older to remember that product...sort of the follow up to "Greasy Kid Stuff"). I believe in sharing, but I don't need anyone to share their hair gel with my headphones.

Default No "Dippity-Do" Zone

At CanFEST, we will be offering hair coverings for both attendees and exhibitors to give attendees to wear. It is simply meant to be a courtesy to those who are kind enough to share their equipment and to help keep cans from getting stains or whatever on the headbands. I have this concern with my 02mk2 as the headband will absorb stuff. The hair cover will look something like the following, girl not included

Hi;

I am over in Greenwood SC. Thinking about attenting and bringing my OLD 600 ohm Beyerdynamic DT 990 recabled to see how they compare to cans of today. Anyone interested to car pool?
