Default Can Jam 2009 Organization Structure

This year's Can Jam is starting out as one of the most ambitious and experience-packed meets ever. A lot of great programs and exhibits have been proposed so far and to ensure all areas of the event run smoothly we will need to be very organized. To that end, I would like to share with the community our preliminary organization structure and would like your suggestions or additional subcommittee recommendations to help launch this event.

Please keep your posts short and specific to subcommittees or teams needed. The general Can Jam 2009 thread should be used for general concerns or ideas associated with the event. We will post a general volunteer thread later as we get closer to the event when we identify specific areas needing people willing to assist.

Thanks for your input.


Meet Logistics
-Travel coordination, ride share, room share info and recommendations
-Hotel layout for meet rooms, vendor location , other services
-Arrival and setup for participants
-Off premises activities, night out, food, and sightseeing

Advertising
-Establish a price list and policy for all revenue producing advertising
-Establish vendor pricing and benefits packages
-All other audio forums with a potential interest
-Banners, badges, promotional items, brochures and posters
-Publicity contact for magazines and on line audio publishers
-HeadFi forum posts, pictures and gear impressions

Security-Equipment and participants

Day of the Event
-Equipment needs
-Changes or maintenance needs
- Coordinate on site hotel services (if any)
- MOT interface

Having attended Canjam 2007 and 2008, may I suggest that we offer a couple of more lectures and demonstations. I know that you have Steve Hoffman and another person coming; but perhaps one or two more of the same would be great. I particularly enjoyed the extra special rooms that were set up for the Florida Canjam2008 in which Carey Audio set up that out of sight high end audio system. Something like that would also be great. Scottsmrnyc

As I said in another posting, I'm planning to make a few posts on some of the pro audio sites and mailing lists. What I'd really like to see is a post that I could link to that would just state the facts about CanJam '09. Most of these folks would be registering at the door so the cost, locations and and features such as the fact there will be vendors (it wouldn't have to be specific) and lectures and other activities scheduled. A small gallery of photos from past Internationals would be cool.
I guess what I'm looking for is something like a commercial show would have as a homepage. Something brief that folks that have no idea what Headfi is (or may have misconceptions about it) so they wouldn't have to slog through page after page from an impressions thread.
BTW I'll be contacting one of the ranking members of the LA Orange County Audio Society today so they can get it on their schedule (they plan activities far in advance).

A very good suggestion and perhaps soon we could have a summary/meet overview page put together. I will check with the crew.

As for the LA/OC Audio Society, check with JP#s as I believe he is covering that area already.

Have any special arrangements been made for parking for attendees?

Not that there is any lack of parking in the area, just that prices vary quite a bit, from around $6/day (long walk or short cab ride away), up to around $30-ish/day (or more). The Hilton lists a self park day rate at $18 on their web site.

I haven't found any mention of parking in any of the CanJam threads. Sorry if I missed it, but this one seemed like logical place to ask...
This would be some helpful information for us locals and anyone that is driving in for the event. Thanks.

We've negoiated a special parking rate at the Hilton for all attendees, it's $10 a day for self parking.

i'll check with our rep at the hotel as to why, at the meet i hosted there back in Oct 2008, a select few got zapped with the regular rate, possibly the ticket could have required validation at the front desk before driving out, which if so, i wasn't informed about it.
